Meeting Planning Assistants support the Coordination team in organizing and executing logistics for Opal Group’s conferences. This entry-level role assists Meeting Planners and Conference Coordinators with administrative tasks, event preparation, and conference materials to help ensure smooth event operations across multiple events.

Compensation: $850 USD per month
Location: Remote

Responsibilities include, but are not limited to: 

  • Provide administrative and logistical support to Meeting Planners and Conference Coordinators
  • Assist with organizing and maintaining conference materials, speaker information, and event documentation
  • Coordinate internal travel, transportation, and shipping arrangements as needed
  • Assist with coordinating VIP speaker travel and logistical details
  • Collect and organize speaker and sponsor materials such as biographies, headshots, presentations, and company descriptions
  • Manage and update registration information within internal databases
  • Support conference communications, including attendee notifications related to hotels, schedules, and deadlines
  • Assist with preparing badges, printed materials, and conference supplies
  • Help track event-related information and maintain organized records across multiple conferences
  • Provide professional and responsive customer service when assisting speakers, sponsors, and attendees
  • Assist with onsite preparation and event execution as needed
  • Support general coordination tasks and projects as assigned by the Coordination team

Qualifications:

  • Bachelor’s degree preferred
  • Advanced English skills in verbal and written communication are required
  • Strong organizational skills with attention to detail and accuracy
  • Ability to manage multiple projects simultaneously across several conferences
  • Strong time management and prioritization skills in a deadline-driven environment
  • Professional, engaging, and diplomatic demeanor
  • Strong customer service mindset and problem-solving skills
  • Proficiency with Microsoft Office tools including Word, Excel, and PowerPoint
  • Experience with Salesforce or CRM systems is a plus
  • Self-motivated and able to work both independently and as part of a team
