Conference Coordinators support the logistical planning and execution of Opal Group’s conferences by managing travel arrangements, operational tasks, and event preparation activities. This role works closely with Meeting Planners to help ensure conference logistics are organized, accurate, and executed efficiently across multiple events.

Compensation: $1,100 USD per month
Location: Remote

Responsibilities include, but are not limited to:

  • Support Meeting Planners with logistical planning and coordination for multiple conferences
  • Coordinate internal travel, transportation, and shipping arrangements for conferences
  • Manage speaker travel logistics and assist with coordinating accommodations when required
  • Maintain and track hotel room blocks, reservations, and related attendee requests
  • Collect and organize speaker and sponsor materials such as biographies, headshots, and presentations
  • Maintain accurate conference information across internal systems and databases
  • Coordinate attendee communications related to logistics, travel, and event preparation
  • Assist with preparing conference materials including badges, signage, and printed materials
  • Track and organize event-related documentation including receipts, invoices, and operational records
  • Provide professional customer service to speakers, sponsors, and attendees when addressing logistical questions
  • Support onsite conference operations when additional event support is required
  • Collaborate with internal teams including marketing, sales, accounting, and operations to support conference preparation

Qualifications:

  • Bachelor’s degree preferred
  • Advanced English skills in verbal and written communication are required
  • Strong organizational and coordination skills with the ability to manage multiple events simultaneously
  • Experience supporting logistics, event coordination, or operational project management is preferred
  • Strong attention to detail and ability to manage high volumes of information accurately
  • Excellent interpersonal and professional communication skills
  • Ability to work effectively in a fast-paced, deadline-driven environment
  • Proficiency with Microsoft Office tools including Word, Excel, and PowerPoint
  • Experience with Salesforce or CRM systems is a plus
  • Self-motivated and able to work both independently and as part of a team
